What we process, why, and on which basis
Visiting our website
When you visit our website, our server automatically records technical data: your IP address, the date and time of your visit, the page you requested, the website that referred you, and your browser and device type. We need this to deliver the website, keep it secure and fix errors. Our legal basis is our legitimate interest in a secure, working website (Article 6(1)(f) GDPR). These server logs are kept for a limited period, normally a few weeks, and are then deleted automatically.
Contacting us
If you email or call us, or use the contact form on our website, we process your name, your email address, your telephone number if you give it, your company and role if you fill them in, and the content of your message, in order to answer you and follow up. A message sent through the contact form is stored on our website and forwarded to us by email.
Our legal basis is our legitimate interest in answering your question, or taking steps at your request before entering into an agreement (Article 6(1)(b) and (f) GDPR). We keep this correspondence for as long as it is relevant to our contact with you.
Our newsletter, Signals
If you subscribe to Signals, we process your email address, and your name if you give it with a download, in order to send you the newsletter. We only do this with your consent (Article 6(1)(a) GDPR). You can withdraw your consent at any time by using the unsubscribe link in the newsletter or by emailing us. We keep your details until you unsubscribe.
Downloading a report
Before you download one of our reports, we ask for your first name, last name and email address, and we record which report you requested and when. With your consent (Article 6(1)(a) GDPR), we use these details to give you the report and to contact you about it or about related work of TrendsActive. You can withdraw your consent at any time. We only add you to our newsletter if you tick the box for it. We keep these details for no longer than two years after your last download.
Clients, suppliers and business contacts
When we work with you or your organization, we process the business contact details of the people involved (name, position, organization, email address and telephone number), our correspondence, and the details we need for invoicing and payment, such as a bank account number. We need these to carry out our agreements (Article 6(1)(b) GDPR) and to meet our legal obligations, such as keeping our accounts (Article 6(1)(c) GDPR). Dutch tax law requires us to keep financial records for seven years.
Cookies
The public pages of our website do not use cookies, and we do not use analytics or tracking tools. The share buttons on our articles are plain links: they only connect you to LinkedIn or Facebook when you click them.
The only cookie on this website is a functional login cookie for the people who edit the website, in the part of the site that is closed to visitors.
Who we share your data with
We do not sell your personal data. We only share it with service providers who need it to provide their services to us, or when the law requires us to. These providers process data on our behalf and under our instructions, and we have made agreements with them to keep your data secure and confidential. They are:
- our web agency, which builds and maintains the website and hosts it on servers of Hetzner Online GmbH in Germany;
- Cloudflare, which delivers our website and protects it against attacks;
- Google, which provides our email (Google Workspace);
- Resend (Plus Five Five, Inc.), which delivers the emails our website sends, such as the messages from the contact form.
Transfers outside the European Union
Our website and its data are hosted in Germany. Some of our service providers, such as Cloudflare, Google and Resend, may process data in the United States. Where that happens, the transfer is protected by the EU-US Data Privacy Framework or by the standard contractual clauses of the European Commission.
How we protect your data
We take appropriate technical and organizational measures to protect your personal data against loss, misuse and unauthorized access. Our website is only available over an encrypted connection (HTTPS), access to personal data is limited to the people who need it for their work, and our systems are kept up to date.
If you think your data is not properly secured, or you see signs of misuse, please contact us at info@trendsactive.com.
Your rights
You have the right to:
- see the personal data we hold about you;
- have it corrected or completed;
- have it deleted;
- have its processing restricted;
- object to processing that is based on our legitimate interest;
- receive your data in a common, machine-readable format, or have it sent to another organization;
- withdraw your consent at any time, without affecting processing that took place before.
To exercise these rights, email info@trendsactive.com. We will respond within one month. To make sure a request really comes from you, we may ask you to confirm your identity. Please do not send us a copy of an identity document unless we ask for it.
Complaints
If you are not satisfied with how we handle your personal data, please let us know first. You also have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.
Children
Our website and services are not intended for children under 16. We do not knowingly collect personal data of children under 16 without the consent of a parent or guardian. If you believe we have done so, please contact us and we will delete the data.
Automated decisions
We do not make decisions about people based solely on automated processing, such as profiling.
Changes to this statement
We may update this statement when our services or the law change. The latest version is always available on this page.
